Who’s responsible for your details

Meadow Farm is responsible for your booking details (the “data controller”). It uses PootlrHost, a booking system run by Thokki Digital Ltd, to run its website and take bookings. PootlrHost looks after your details on Meadow Farm’s behalf and only uses them to provide that service.

What’s collected, and why

• Your booking: your name, email address and (if you give it) mobile number, your dates, pitch, party size, vehicle, extras and any notes. These are needed to take your booking, send your confirmation and reminders, and get your pitch ready.
• Payments: what you’ve paid and what’s still to pay.
• Messages: what you send Meadow Farm from the website’s contact form or your stay page, and their replies, so they can answer you.
• Reviews: a review you choose to leave after your stay, which Meadow Farm may show on its website.
• Security: your IP address and browser, kept with your visit to keep the website secure and stop misuse.

Meadow Farm uses these details because it needs them for your booking (your contract with them), because it has a legitimate interest in running the site safely and keeping proper records, and because the law requires some records to be kept, such as payments for tax. You’ll only get marketing emails if you’ve agreed to them.

Who your details are shared with

Meadow Farm doesn’t sell your details. They’re shared only with the services that run the booking for it:

• PootlrHost runs Meadow Farm’s website, bookings and guest emails, and stores your booking on Meadow Farm’s behalf.
• Brevo sends the booking emails: your confirmation, reminders and messages from Meadow Farm.
• The SMS Works sends booking text messages to the mobile number you give.
• Cloudflare protects the website and delivers its pages, so it handles your IP address when you visit.

Some of these may process your details outside the UK. Where they do, the safeguards UK data protection law requires are in place.

How long it’s kept

Your booking is kept while Meadow Farm uses PootlrHost, unless they delete it sooner. Booking and payment records may be kept for up to 7 years for tax and accounting. If you sign in to “Your stays”, that sign-in ends after 2 hours without activity.

Cookies

The website uses the cookies it needs to work: one that keeps your booking going as you move between steps, and one that protects its forms.

There are no advertising or tracking cookies.

The map in “Getting here” comes from OpenStreetMap, which sees your IP address when it loads. It sets no cookies.

Your rights

You can ask Meadow Farm for a copy of your details, ask them to correct or delete them, or object to how they’re used. Some records, such as payments, may have to be kept for the time the law requires.

To ask, ring 07700 900123. If you’re not happy with the answer, you can complain to the Information Commissioner’s Office.
